Phones or clerk-run

Members vote from their own phones with the QR code they get at check-in. The ballot is tied to that phone, one per member. Or run with no phones at all: the clerk records each vote, and it goes into the same tally and the same record.

Every vote type

Voice, standing count, roll call, and secret ballot. Single-winner elections by majority with runoff, two-thirds, or plurality. Multi-seat committee elections by plurality or majority. You set the threshold for each, and you can change the method mid-vote.

Hand-counted paper ballots

Prefer printed secret ballots? They go on the same record. A Ballot Station issues one sheet per member per round. Tellers count in parallel, district by district, and the totals roll up. If the number issued doesn't match the number counted, the mismatch is flagged before a result stands. A challenged district, or one drawn for a random audit, can be recounted live, with both counts kept on the record. The room watches the count come in on the big screen, and every round exports.

State Conventions

County → state roll-up

Counties send their certified delegation to the state party with a standing code. If a county isn't on RosterVote, the state imports its reporting form instead. The state reviews each delegation, then holds it or accepts it into the convention. District chairs seat ranked alternates for absent delegates. Every delegation crosses as a verified copy, never as a shared database.

A precinct-delegate roster across the two-year cycle, office races that seat statutory nominees at large, caucus apportionment, void fills, and certify-to-state exports.

Executive Committee

Run the governing committee between conventions. A registry of statutory offices seats each office's current nominee, the party's most recent primary winner, as a member automatically. Committee meetings check quorum, allow proxy voting under your bylaws, and record every vacancy fill.

Chair View

One screen for the presiding officer: where you are in the agenda, quorum, the live vote and its threshold, and the nomination queue. Declare, open, close, and advance from the same place.

Practice mode

Every meeting starts as a dry run. Rehearse the whole thing, train your volunteers, even seat real delegations. Practice votes and check-ins never touch the record. When you're ready, make it official.

Send the official notice to your roster, branded as your organization, with the agenda and a prior meeting's minutes enclosed. Recipients acknowledge it in one tap and keep a named receipt. Require acknowledgement, see who has replied, and export the rest for follow-up. Delivery is authenticated (SPF, DKIM, DMARC) so the notice reaches the inbox.

Motions, amendments & debate

Run the body by formal procedure. Move a motion with a mover and a second. Amend it, and the record shows the exact wording adopted. Manage debate with a speaker list, for-and-against alternation, and an advisory timer. Take points of order, chair rulings, and appeals. Call the previous question, limit debate, table, postpone, recess, reconsider, or rescind, with quorum warnings throughout. Every step goes on the record and into the minutes.

Minutes & the record

Minutes draft themselves from the agenda and the recorded actions as the meeting runs. The clerk adds notes live, approves the final draft, and exports a PDF. Afterwards, a one-click summary report lists every vote, the quorum, and each outcome, with its integrity check.

Most voting software is one of two things. Neither runs a credentialed meeting from check-in to result, and neither lets anyone prove the result afterwards.

Remote ballot tools

Good for mailing a ballot to the whole membership. But there is no live floor: no check-in, no agenda or motions, no alternates or apportionment. And you are asked to take the tally on trust.

Clicker & AGM systems

Every event, whether a ballot cast, a vote closed, or a member checked in, is written as its own tamper-evident entry. The record is signed and sealed every time a vote closes. On any secret vote (a secret ballot, a single-winner ballot, a slate or an election), each voter gets a private tracking code to confirm their own vote counted. A roll-call vote is recorded next to the voter's name instead. Anyone can open the verifier, with nothing to install, and check every entry, recount every vote, and reproduce each election's declared winner from the record.

Your data stays yours. Once your organization is live, no one at RosterVote can see it without a time-limited grant that your own admin issues and can revoke. Every access is logged in a plain-language activity log that shows what changed, before and after. Your organization can require two-factor sign-in. You can take a backup snapshot of your organization and restore it, and you can export the whole thing, every meeting, vote and record entry, to one file at any time.

Common questions

Do members need to install an app or create an account to vote?

No. Each member scans a QR code at check-in and votes in their phone's browser. There is no app to install and no account to create. The ballot is tied to that phone, one per member.

Can members without a smartphone still vote?

Yes. The clerk can record every vote, and it goes into the same tally and the same record. Or run the meeting on hand-counted paper ballots. Phone voting is optional.

Does verifying a result require installing anything?

No. Anyone can open the verifier in a browser, with no install and no account. It checks every entry, recounts every vote, and reproduces each election's declared winner from the exported record. It works offline too.

Do we have to use every feature?

No. You license only the features your organization needs: Roster, Check-in, Convention, Communications, Paper Ballots, and more. Everything is labeled for your kind of organization. An HOA runs annual meetings and secret ballots with none of the convention features.

How does a voter know their vote counted?

On any secret vote (a secret ballot, a single-winner ballot, a slate or an election), every voter gets a private tracking code and a receipt that says their ballot counted. A roll-call vote is recorded next to the voter's name instead. The record is signed and sealed when each vote closes, so anyone can recount the tallies and winners from the record, and compare them and the signed root with the published result.
